Last updated 13 October 2026
Effective date: [DATE OF PUBLICATION]
This policy explains what personal data Learning Machine ("we", "us") collects on learningmachine.az (the "Site"), why we collect it, how long we keep it and what rights you have. We process personal data in accordance with the Law of the Republic of Azerbaijan "On Personal Data" and, where applicable, the EU General Data Protection Regulation (GDPR).
1. Who is responsible
Learning Machine [LEGAL ENTITY NAME, TIN] Rasul Rza 75, Baku, Azerbaijan E-mail: [email protected]
2. What we collect and why
Contact form. When you send us a project or idea we store your name, e-mail address, phone number and company (if you give them), your message, the service you selected, the language of the page, the date and time, your IP address and browser identifier (user agent). We use this to answer you, to prepare a quotation and to protect the form from abuse. Legal basis: the steps needed to conclude a contract at your request and our legitimate interest in preventing spam.
Chat. The chat on the Site sends your messages to our messaging system. We store the message text, the time, the page you wrote from, the language of the page, your IP address and the e-mail address if you choose to leave one for a late reply. A first answer may be written by an automated assistant; a person from our team can take over the conversation at any time. We keep chat conversations for 12 months. Legal basis: our legitimate interest in answering visitors' questions and preventing abuse.
Voices.az examples. The voice samples and dubbing videos on the Site are played from voices.az, our service. Nothing is loaded until you press play; then your browser fetches the file from voices.az, which receives your IP address and browser identifier like any website does. You do not enter any data for these examples.
Protection from spam (Google reCAPTCHA). The contact form and the chat use Google reCAPTCHA v3. When you start filling in a form or open the chat, a Google script loads; it assesses whether the visitor is a person (for example from the browser, the device and how the page is used) and sends this to Google LLC, which may set its own cookies. We receive only a score and use it to reject automated messages. Google processes the data under its Privacy Policy. Legal basis: our legitimate interest in protecting the Site and our team from spam.
Notifications to our team. New enquiries from the contact form are forwarded to our team by e-mail and through a private Telegram channel so that we can reply quickly. Telegram is operated by Telegram FZ-LLC; the forwarded message contains the data you entered in the form.
Analytics. We use Google Analytics 4 to understand how the Site is used (pages viewed, device type, approximate location by country or city, referral source). Google Analytics sets cookies and processes data on Google's servers under its own privacy policy. IP addresses are truncated by Google Analytics 4 before storage. You can block analytics with a browser extension or by disabling cookies.
Server logs. Our web server and the Cloudflare network in front of it record requests (IP address, URL, time, user agent, response code) for security and troubleshooting. Logs are kept for up to 30 days.
3. Cookies
The Site uses: a session cookie needed for the Site and its forms to work (deleted when you close the browser), a cookie that remembers your chat conversation (up to 12 months), Google Analytics cookies (up to 2 years) and, once you use a form or the chat, the cookies of Google reCAPTCHA. We do not use advertising cookies.
4. Who receives your data
We do not sell personal data. Data is processed by us and by the service providers listed above (Google, Telegram, Cloudflare, our hosting provider) only to the extent described in this policy. We may disclose data when the law requires it.
5. How long we keep data
Contact form enquiries: as long as needed to handle the enquiry and for up to 3 years afterwards, unless a contract follows. Chat conversations: 12 months. Server logs: up to 30 days. Analytics data: according to the Google Analytics retention setting (14 months).
6. Your rights
You can ask us to show you the personal data we hold about you, to correct it, to delete it, or to stop processing it, and you can object to processing based on our legitimate interests. Write to [email protected]. We answer within 30 days. If you believe your rights have been violated you may complain to the competent supervisory authority.
7. Security
Data is transmitted over HTTPS. Access to enquiries and chat conversations is limited to the members of our team who need it. Secrets and credentials of the Site are never stored together with visitor data.
8. Children
The Site is not intended for children under 16 and we do not knowingly collect their data.
9. Changes
We may update this policy. The current version is always published on this page with its effective date.
